October 2026 update: roles, work packages and approvals

This update changes who can do what on a project. Below is what changed for clients, companies, property managers and residents.

For clients

  • Invite your partner or a co-owner under People. Any client can accept offers, approve change orders and sign off work. If every client should agree above a set amount, we can switch that on for the project.
  • Invite the architect, interior designer or project lead you hired. They join for their verified company and can work on the brief and material choices, but they can't accept offers or close the project. With site supervision, an architect or a project lead can also sign off milestones and check invoices.
  • A project lead sets the order of the trades, hands over each finished package and recommends whether to accept it.
  • Split a project into work packages, such as tiling, electrics and plumbing. Each package is tendered and awarded separately.
  • Send an outside expert a guest link to one open point. They can answer it without an account.

For companies

  • Two new team roles: Sales handles inquiries, leads and offers, and Site manager runs the site without seeing amounts.
  • Project managers can send offers and invoice the projects they lead.
  • When a client calls, you can prepare their project and send them a link. Until they invite other companies, only yours can make an offer.
  • A general contractor can bring in its own subcontractors. The client doesn't see subcontract prices or invoices.
  • Each company's daily log is private to that company unless the client shares the logs between packages.
  • Every contractor account is now a company account. Sole traders are marked as sole traders.

For property managers and owners

  • Property managers and owners use the same web app as everyone else, at app.baubiber.com.
  • Approval steps can have limits: the managing organisation approves offers and change orders, and the owner approves above the manager's limit. These steps are off until your organisation asks us to switch them on.
  • On a property nobody manages, a tenant can invite the owner. A tenant who pays for an upgrade themselves records the owner's consent or asks the owner to give it in the app.

For residents

Each project now records who pays. Residents who don't pay see the progress, can report defects and see when a crew plans to visit their home. They don't see offers, prices or hours.

Reminders

Pending approvals, change orders, overdue tasks and unsigned milestones get one reminder. If they are still open after that, a project lead's items go to the client and a property manager's go to the owners.
